These Terms of Service ("Terms") govern your access to and use of FieldFlow HVAC ("FieldFlow," "we," "us," or "our"), a field service management platform available on iOS, Android, and the web. By creating an account or using FieldFlow, you agree to these Terms. If you do not agree, do not use the platform.
FieldFlow is a multi-tenant platform designed for HVAC companies. A company account is created by a Superadmin who agrees to these Terms on behalf of the company. The Superadmin is responsible for all activity that occurs under the company account, including the activity of office staff, technicians, and warehouse users they invite.
You must provide accurate and complete information when registering. You are responsible for maintaining the confidentiality of your login credentials. You must notify us immediately if you suspect unauthorized access to your account.
Each company account is isolated. You may not access, view, or attempt to access the data of another company on the platform.
Your content belongs to you. All data you enter into FieldFlow — including customer records, job details, invoices, estimates, service notes, photos, signatures, maintenance schedules, and company branding — remains your property. FieldFlow does not claim ownership of any content you or your team create.
License to operate the service. By using FieldFlow, you grant us a limited, non-exclusive, worldwide, royalty-free license to store, process, display, and transmit your content solely as necessary to provide the platform's features to you. This license is used only to run the service — for example, to generate PDF reports with your data, display jobs on the dispatch board, or send estimate emails to your customers on your behalf.
No use of your content for other purposes. We do not use your company's data, customer information, or business records for advertising, to train AI models, to benchmark against other companies, or for any purpose beyond operating and improving FieldFlow for your benefit.
Customer data you enter. You represent that you have the appropriate rights or permissions to enter your customers' information (name, address, contact details, signatures) into the platform, and that doing so complies with applicable privacy laws in your jurisdiction.
You agree to use FieldFlow only for lawful purposes and in accordance with these Terms. You must not:
FieldFlow offers Basic and Pro subscription plans (monthly and annual). Enterprise customers are provisioned on the Pro plan. All subscriptions are billed through Stripe. By subscribing, you authorize us to charge your payment method on a recurring basis at the rate in effect at the time of purchase.
Pro features (advanced accounting, QuickBooks export, unlimited invoicing, estimate workflows, AI job notes, and others) are only available on an active Pro or Enterprise subscription. If your subscription lapses, access to those features is suspended until payment is resolved.
You may cancel your subscription at any time from the billing settings in the app. Cancellation takes effect at the end of the current billing period. We do not offer prorated refunds for partial periods, except as required by applicable law.
We reserve the right to change subscription pricing with at least 30 days' advance notice to active subscribers.
Your use of FieldFlow is also governed by our Privacy Policy, which is incorporated into these Terms by reference. Please review it to understand how we collect, use, and protect your information.
We aim to maintain high availability but do not guarantee uninterrupted access. We may perform scheduled or emergency maintenance that temporarily makes the platform unavailable. We will provide advance notice of significant planned downtime where possible.
We reserve the right to modify, update, or discontinue features of the platform at any time. We will provide reasonable notice before removing features that are central to the platform's core functionality.
If you close your company account, you may request an export of your data before the account is deleted. After account closure, we will delete your company's data within 30 days. We are not responsible for data loss after an account has been deleted.
FieldFlow is provided "as is" and "as available" without warranties of any kind, express or implied, including but not limited to warranties of merchantability, fitness for a particular purpose, or non-infringement. We do not warrant that the platform will be error-free, uninterrupted, or free of harmful components.
To the maximum extent permitted by law, FieldFlow and its operators shall not be liable for any indirect, incidental, special, consequential, or punitive damages — including loss of profits, data, or business — arising out of or in connection with your use of the platform, even if we have been advised of the possibility of such damages.
Our total liability to you for any claim arising out of these Terms or your use of the platform shall not exceed the amount you paid to us in the 12 months preceding the claim.
You agree to indemnify and hold harmless FieldFlow and its operators from any claims, damages, or expenses (including reasonable legal fees) arising from your violation of these Terms, your use of the platform, or your infringement of any third-party rights.
We may update these Terms from time to time. When we make material changes, we will update the "Last updated" date above and notify active account holders by email at least 14 days before the changes take effect. Your continued use of FieldFlow after the effective date constitutes acceptance of the revised Terms.
