Any person with a FieldFlow account at your company — office staff, dispatchers, and field technicians all count. Each plan tier covers a specific headcount range, so the 1–5 plan supports up to 5 users, the 6–12 plan supports up to 12, and so on. You won't be charged per seat within your tier.

Pro includes a payment collection workflow where technicians can present the invoice to customers on their mobile device in the field, accept a card payment, and record it instantly. The payment is tracked in the accounting module and synced to QuickBooks. Physical card reader hardware is not required — the workflow can be used with any payment method you choose to record.

Yes — you can upgrade from Basic to Pro at any time from your account settings. You'll get immediate access to all Pro features and the billing difference is prorated for the remainder of your current billing period.

Yes. Switching to yearly saves 17% and the change takes effect at your next billing date. Switching from yearly back to monthly takes effect at the end of your current annual period — no partial refunds on yearly commitments.

When you add a user that exceeds your current plan's headcount, you'll be prompted to upgrade to the next tier. The upgrade is prorated so you only pay the difference for the days remaining in your billing period.

Your data stays yours. If you cancel, your account remains accessible in read-only mode for 30 days so you can export everything. Jobs, customers, invoices, and reports can all be exported from the settings screen at any time.
